Terms of service
These terms are the agreement between us and the business that signs up to RunSheet (“you”). By creating an account you accept them on behalf of your business.
Some of our business details below are still being added.
1. Who we are
- Business: Livelihood Ventures Ltd, company number 17496152
- Address: 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ
- Email: hello@schoolrunsheet.co.uk
- ICO registration number: [to be added]
2. What RunSheet does, and doesn’t
RunSheet helps school transport operators collect weekly invoices from drivers and passenger assistants, check them, organise payments and produce reports.
- RunSheet does not hold or move money. Payments are made by you or your accountant from your own bank account.
- RunSheet is a tool, not an accountant or adviser. It doesn’t give tax, legal or employment advice, including about whether the people who invoice you are self-employed.
- RunSheet flags things worth checking, but it can’t catch every mistake. You are responsible for checking amounts and bank details before anyone is paid.
3. Your account
- You must be at least 18 and using RunSheet for a business.
- Keep passwords private. You are responsible for what happens under your account and for the people you invite, including your accountant.
- Drivers and PAs log in with their own PIN and can only see and send their own invoices.
- Tell us straight away if you think someone has got into your account without permission.
4. Trying it and paying for it
- New accounts get a free trial (currently 30 days). We don’t ask for card details to start it, and we never charge you without you first choosing a plan.
- Plans are billed monthly or yearly, in advance, through our payment provider Stripe. Prices are shown on our website and in your account before you subscribe, and are exclusive of VAT where VAT applies.
- Your plan is set by how many drivers and PAs are marked active in your account. If that number moves you into a different plan, we email you and the new price applies from your next bill; we don’t charge part-periods for it.
- You can cancel at any time from your account. You keep access until the end of the period you’ve paid for and aren’t charged again. We don’t refund part-periods, except where the law says we must.
- If your trial ends without a plan, or a payment fails and isn’t put right, the office side of your account is paused: you can still see your plan, download all your data and mark payment runs already sent as paid. We won’t delete your data because a payment is late.
- Discount codes apply as described when you use them; a “for as long as you stay” discount ends if you cancel.
- We’ll give you at least 30 days’ notice of any price change.
5. Your data
- The data you put into RunSheet is yours. You can download all of it at any time.
- For personal data about your drivers, PAs and staff, you are the controller and we are your processor. Our data processing agreement forms part of these terms.
- You confirm you have a lawful basis to give us this data and that you tell the people concerned how it is used (our privacy policy can help).
- We will only use your data to provide and improve RunSheet, keep it secure, and as the law requires.
6. Fair use
You agree not to:
- use RunSheet for anything unlawful or fraudulent;
- upload anything you don’t have the right to use;
- try to get into other companies’ data, test our security without our written permission, or overload or disrupt the service;
- copy, resell or reverse engineer RunSheet.
7. Keeping RunSheet running
- We work hard to keep RunSheet available, but we can’t promise it will never be interrupted, for example during maintenance or problems with our providers.
- We keep improving RunSheet. We won’t remove a core feature you rely on without telling you in advance.
8. Confidentiality
We each keep the other’s confidential information private and only use it for the purposes of this agreement.
9. Ownership
We own RunSheet and its software. You get the right to use it for your business while your account is active. If you send us suggestions, we can use them freely.
10. Liability
- Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that can’t be limited by law.
- We are not liable for indirect or consequential losses, or for loss of profit, revenue or goodwill.
- We are not liable for payments you make, including payments to the wrong person or account. Please check before paying.
- Otherwise, our total liability in any 12 months is limited to the fees you paid us in those 12 months, or £100 if that is more.
11. Ending the agreement
- You can stop using RunSheet at any time.
- We may suspend or end your account if you seriously break these terms, or with 60 days’ notice for any other reason.
- When it ends, you have 30 days to download your data. We then delete it within 90 days, unless the law requires us to keep it.
12. General
- We may update these terms. We’ll email you about significant changes at least 30 days before they apply.
- These terms, the data processing agreement and anything we agree in writing are the whole agreement between us.
- Nobody else has rights under these terms under the Contracts (Rights of Third Parties) Act 1999.
- These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
